ASSA 2018 Housing Instructions

DEADLINE TO MAKE RESERVATIONS AT THE CONVENTION RATE IS DECEMBER 4th

IMPORTANT

You must register for the meetings in order to gain access to the housing website. Once your registration payment has been processed, you will receive an email confirmation that contains a link to the housing website. Suites can only be reserved online. If you register for the meetings online, you will receive an email confirmation within minutes. Faxed registration forms take up to three days to process, and mailed forms take up to two weeks to process. If you do not receive a registration confirmation within this time frame, email assa@vanderbilt.edu. It is important to make your hotel reservation as soon as possible after you have registered. Hotel reservations are processed on a first received basis. A unique registration ID number must be used for each room or suite request. Hotels will not accept reservations directly. Hotel rates and suite diagrams are available on the AEA website at aeaweb.org/conference/.

CONFIRMATIONS

Hotel confirmations will be sent by email when email addresses are provided, unless otherwise indicated. CMR Housing (ASSA) will email a confirmation once your booking is confirmed, modified, and/or cancelled. Review your confirmation carefully for accuracy. If you do not receive a confirmation via email after submitting a request, please contact CMR Housing at assasupport@cmrus.com. Should your desired length of stay not be available at the time of booking, you will have the opportunity to place your reservation on the waitlist for the unavailable dates. CMR Housing will contact the hotel on your behalf to request the dates needed. A confirmation will be sent to you once all dates are confirmed. An updated confirmation from CMR is the only notification that you will receive if waitlisted nights are added to your reservation.

ROOM RATES/TAXES

To take advantage of special ASSA Convention rates, you must first register, then make your hotel reservation by December 4th. Requests received after December 4th, 2017 will be processed on a space available basis until December 26th, 2:00 p.m. Central Time. Rates do not include local and state taxes, 15.50% per room per night. Taxes are subject to change without notice.

CREDIT CARD GUARANTEE

All reservations must be guaranteed by a credit card. Requests received without credit card information will not be processed. Fill out the credit card information entirely. Credit cards must be valid through January 2018.

MODIFICATIONS

To make a new reservation or to modify an existing reservation, contact CMR Housing until December 26th, 2:00 p.m. Central Time. Beginning December 29th, contact your hotel directly for necessary changes. Some hotels do not allow name changes.

CANCELLATIONS

To cancel a reservation, contact CMR Housing until December 26th. Beginning December 29th, contact your hotel directly. Cancellation of your reservation within 72 hours of arrival will result in a penalty of one night’s room and tax charged to the credit card provided as a guarantee. Failure to check in on your scheduled arrival date will result in the cancellation of all nights of your reservation and a penalty of one night’s room and tax charged to the credit card provided as a guarantee. Some hotels charge an early check in fee for those who wish to check in before 1:00 p.m. Some hotels do not allow name changes, and most hotels charge an early departure fee if you choose to check out before the date that was confirmed upon arrival.
